Openswift Solutions (Pty) Ltd ("FarmDash", "we", "us", or "our") operates the FarmDash farm management platform. We are committed to protecting your personal information in accordance with the Protection of Personal Information Act 4 of 2013 (POPIA) and other applicable South African legislation.
This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our platform. Please read it carefully. By using FarmDash, you consent to the practices described in this Policy.
2. Information We Collect
2.1 Account Information
- Full name, email address, and password (stored as a secure hash)
- Phone number (optional)
- Profile photo URL (optional)
- Google account details if you sign in with Google OAuth
2.2 Farm & Business Information
- Farm name, address, size, and type
- Company registration number and VAT number (optional)
- SARS employer reference numbers (PAYE, UIF, SDL) for payroll purposes
- Bank account details for EFT and debit order payments
2.3 Operational Data
- Livestock, crop, and production records you enter
- Employee records including names, ID numbers, and salary information
- Financial transactions, invoices, and accounting records
- Inventory items, suppliers, and movement records
- Health, veterinary, and vaccination records
2.4 Technical Information
- IP address, browser type, and device information
- Pages visited, features used, and time spent on the platform
- Error logs and performance data
3. How We Use Your Information
We use your information to:
- Provide and operate the FarmDash platform
- Process subscription payments and billing
- Generate payslips, invoices, and financial reports
- Send system notifications, reminders, and updates
- Respond to support requests
- Improve and develop platform features
- Comply with legal obligations under South African law
- Prevent fraud and ensure platform security
4. Third-Party Services
We share data with trusted service providers as necessary to operate the platform:
Stripe
Payment processing for credit card subscriptions. Stripe processes payment card data directly; FarmDash does not store card numbers. See stripe.com/privacy.
Google OAuth
Optional sign-in via Google. We receive your name and email address only. See Google Privacy Policy.
Email delivery (SMTP)
Payslips, invoices, and system notifications are sent via SMTP. Email content may contain personal information such as employee names and salary details.
We do not sell, rent, or trade your personal information to third parties for marketing purposes.
5. Data Storage & Security
Your data is stored on secure cloud infrastructure. We implement industry-standard security measures including:
- Encrypted data transmission (TLS/HTTPS)
- Hashed passwords (bcrypt)
- JWT tokens with short expiry for session management
- Role-based access control limiting data access within your farm
- Regular security reviews
While we take reasonable precautions, no method of electronic transmission or storage is 100% secure. You are responsible for maintaining the confidentiality of your login credentials.
6. Data Retention
We retain your data for as long as your account is active or as needed to provide services. If you cancel your subscription or request account deletion:
- Active farm data is retained for 30 days to allow for reactivation
- After 30 days, all personal and farm data is permanently deleted
- Financial records required for legal compliance may be retained for up to 5 years
- Anonymised, aggregated analytics data may be retained indefinitely
7. Your Rights (POPIA)
Under POPIA, you have the right to:
- Access: Request a copy of the personal information we hold about you
- Correction: Request correction of inaccurate or incomplete information
- Deletion: Request deletion of your personal information
- Objection: Object to the processing of your personal information
- Restriction: Request that we restrict processing in certain circumstances
- Complaint: Lodge a complaint with the Information Regulator of South Africa

8. Cookies
FarmDash uses only essential cookies and local storage for authentication (JWT access and refresh tokens). We do not use tracking or advertising cookies.
9. Children's Privacy
FarmDash is not directed at children under 18. We do not knowingly collect personal information from minors. If you believe we have collected information from a minor, please contact us immediately.
10. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes by email and by posting the updated policy on this page with a new effective date. Continued use of FarmDash after changes constitutes acceptance of the updated policy.
